The Personal Injury Intake Specialist is responsible for managing the initial contact with potential clients who have suffered personal injuries due to accidents, negligence, or misconduct. This role involves gathering essential information, assessing the viability of cases, and assisting clients with the intake process in English and Spanish. The Intake Specialist will ensure that all necessary documentation is completed and properly submitted while providing a positive and empathetic experience for individuals during a difficult time.

Key Responsibilities:

  • Serve as the first point of contact for potential personal injury clients, handling inbound calls, emails, and online inquiries with professionalism and empathy.
  • Conduct interviews to gather necessary details about the client’s injury, accident, and medical history, including documentation, photos, and any other relevant information.
  • Evaluate personal injury cases based on initial information and provide preliminary case information to attorneys for further review.
  • Maintain accurate and organized records of client interactions, case details, and intake forms within the firm’s database.
  • Keep clients informed about the progress of their cases, follow up with them for additional information or documents, and ensure timely responses to inquiries.
  • Work closely with attorneys, paralegals, and other team members to facilitate smooth transitions from the intake process to case management.
  • Explain the firm’s services, the legal process, and potential next steps to clients in a clear and compassionate manner.
  • Schedule and coordinate appointments for consultations with attorneys and other relevant team members.

Qualifications:

  • Previous experience in personal injury law, client intake or customer service is preferred. Experience in a legal environment is a plus.
  • Proficiency in Spanish and English communication.
  • Ability to handle sensitive situations with empathy, professionalism, and discretion.
  • Excellent organizational and multitasking skills, with the ability to manage multiple client cases simultaneously.
  • Comfortable with legal management software and MS Office (Word, Excel, Outlook). Experience with case management software is a plus.
  • Ability to assess and evaluate personal injury claims and make informed decisions on case viability.
  • Works well both independently and as part of a collaborative team environment.
